Brighton and Hove Hockey Data Protection Statement

The committee of BHHC completely understands the importance of data protection and security. Please see the statements below to reassure yourself that you are happy with how we intend to work with this new system. We have been in contact with England Hockey to ensure that they are happy with what we propose with particular reference to junior players.

Information to be Collected

We will be collecting information that is only required to run BHHC. This will include contact and address details as well as first aid, coaching and umpiring information. It will also include age, nationality, disability and ethinicity information required by England Hockey for their subscription (see below for access to this data).

Purpose of Collection

As stated above the information collected will be that which is required to run BHHC. This will include the training, playing, umpiring, coaching, social and fundraising elements of the club.
It will be possible to subscribe to emails that give the performance of BHHC teams and give news of what is occuring in the club. Where a player is under 16 these emails will be copied into the parent or guardian to ensure approriateness is maintained.

Limitations of Use

There will be three levels of access to the data.

The first level will be for captains and coaches and will only include access to email, phone number, coaching and umpiring qualifications for them to arrange matches, coaching and umpiring. Captains and coaches have a code of conduct which they work to so that their communication with their players is appropriate.

The second level will be for junior captains and specific committee members such as the junior coaches & the junior administrator where address and job/school information is required. Junior captains and coaches are CRB checked to meet safeguarding of children requirements.
The third level will be for the club secretary and the data manager and will include the private nationailty, DOB and ethnicity information. This information will only be sent to England Hockey in a collated an anonymous form.

Access to data does not require a CRB check. Only members of the club who have direct contact with children are CRB checked as per the England Hockey Safeguarding of Children Policy.

Data Security

Information will only be accessible to authorised users. Access is granted through the use of a username and encrypted password. Access can be withdrawn at any time by the system manager.
